Privacy notice

EcoShades Limited ("EcoShades", "we") is responsible for the personal details you send us through this website. This notice explains what we collect, why, and what you can ask us to do.

What we collect

When you send an enquiry we store what you enter in the form: your name, organisation or group name, phone number, email address, county, your answers about your project and any message you add. We also record the date you agreed to be contacted and which version of the consent wording you saw.

We do not store your IP address. To block spam we keep a one-way code made from it, which cannot be turned back into the address.

Why we use it

Only to respond to your enquiry and to follow it up, for example to prepare a quotation or arrange a site visit. We use your details because you agree to this when you send the form. We do not sell your details, and we do not use them for marketing or newsletters.

Who can see it

Only EcoShades staff who handle enquiries. Your details are stored on the servers of our web hosting provider, who keeps them for us and may not use them for anything else. We do not share them with anyone else unless the law requires us to.

How long we keep it

We keep enquiry details for 24 months after our last contact with you, then delete them. If you become a customer or partner we keep the details we need for that relationship, and for as long as the law requires for contracts and invoices.

We also keep backup copies of the website for disaster recovery. These are deleted on a fixed cycle, so a deleted enquiry can remain in a backup for up to two years before it is gone for good. Backups are only used to restore the website.

Cookies

This website only uses the cookies it needs to work: one that keeps the form working while you fill it in, and one that protects the form against forged requests. We use no advertising or tracking cookies and no analytics. Fonts and the spam check run on our own server, so no third party sees your visit.

Your rights

Under the Kenya Data Protection Act, 2019 you can ask us to:

• tell you what details we hold about you and give you a copy;

• correct details that are wrong;

• delete your details, or stop using them;

• stop contacting you. You can withdraw your consent at any time; this does not affect what we did before.

Email privacy@ecoshades.africa. We may ask you to confirm who you are before we act, and we will reply within 30 days.

If you are not happy with how we handle your details, you can complain to the Office of the Data Protection Commissioner (odpc.go.ke).

Changes to this notice

If we change how we use your details we will update this page and the date at the top.
